Description

The Ptarmigan Inn, Hay River's premier full service hotel is seeking a motivated and reliable individual to join our team as Front Desk Supervisor. Reporting to the General Manager, this position is responsible for the supervision and control of the hotel rooms, front desk operations, and general assistance for the General Manager.

 

Responsibilities

  • Regularly work Front Desk shifts, and complete all duties required with that position.
  • To communicate regularly and efficiently with the General Manager, supervisors, and departmental managers.
  • Supervise and oversee Front Desk Clerks, ensuring all staff are providing professional and friendly service.
  • Schedule staff, including answering and responding to staff schedule changes and issues.
  • Ensure the facilities are clean and maintain a par stock.
  • Ensure all staff is well trained, in uniform and follow in house customer service protocols.
  • Administer tips and gratuities in a fair as per company policies.
  • Supply feedback on customer reviews, comments, and complaints in a timely fashion.
  • Ensure that company and statutory hygiene standards are maintained in all areas.
  • Ensure that reports and administration requirements are submitted in accurate and timely fashion. Weekly review of Hotel sales, to help ensure accuracy in ordering and maintain proper controls.
  • Ensure that the causes of staff grievances are investigated, and the appropriate action taken.
  • Ensure that fire and evacuation drills are held regularly.
  • Circulate throughout all facilities maintaining a positive profile with customers and staff.
  • Verifying the hours worked and recorded by staff, ensuring that all hours recorded in the time sheets are recorded in the hand scanning system.
  • Maintain an up-to-date knowledge of trends in the industry and make suggestions for improvement of operations.
  • Planning new events/specials in the facilities and working with GM to advertise and promote the events. Ensure that regular entertainment is booked in the facilities.
  • Carry out or ensure that regular On-the-Job Training is taking place to agreed standards.
  • Other duties as reasonably required to ensure the success of the organization.

Secondary (high) school graduation certificate

Experience

1 year to less than 2 years

Specific Skills

  • Experience in all aspects of customer service and people management
  • Demonstrated ability to lead and direct a team.
  • Strong working knowledge of hospitality industry principles, methods, practices, and techniques
  • Ability to supervise employees, including organizing, prioritizing, and scheduling work assignments.
  • Ability to analyze and interpret the needs of clients and offer the appropriate options, solutions, and resolutions required.
  • Exceptional conflict resolution, negotiation, and objection handling skills
  • Able to respond quickly in a dynamic and changing environment. Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment.
  • Good training, coaching, and mentoring skills are essential
  • Able to build and maintain lasting relationships with corporate departments, key business partners, and customers
  • Knowledge of cost analysis, fiscal management, and budgeting techniques
  • Able to effectively communicate both verbally and in writing
  • Ability to coordinate and organize meetings, exhibits, and other events

Working Conditions

    • Ability to stand for long periods of time
    • Weekend & evening work required
    • Ability to lift and carry up to 30lbs
    • Overtime as required
